7 AI Tools That Replaced My $5,000/Month Team

I used to pay five people to run my business. Now I run it with AI and one part-time VA. Here's the exact stack — and what each tool replaced.

I'm going to be direct with you: I used to have a team of five people helping me run my online business. A content writer. A social media manager. A VA for admin. A developer for small fixes. And a customer support person.

Combined, they cost me around $5,000 a month. And I was still the bottleneck.

Now I run everything with AI tools and one part-time VA who handles the things AI genuinely can't do yet. My monthly tool costs: under $300.

Here's exactly what I use and what each one replaced.

1. Manus — Replaced My Developer + Project Manager

Manus is the AI agent I use for everything that requires actual doing — not just thinking. It builds things, writes code, manages files, browses the web, and executes multi-step tasks while I sleep.

I use it to build my products, update my website, research competitors, and run complex workflows. The thing that makes Manus different from every other AI tool is that it actually completes tasks rather than just helping you think about them.

What it replaced: My part-time developer ($800/month) and half my own time as project manager.

My tip: Install Manus Memory Pro immediately. Without it, Manus forgets everything between sessions. With it, it remembers your entire business context permanently.

2. Claude (Anthropic) — Replaced My Content Writer

Claude is my primary writing AI. I use it for blog posts, email sequences, sales copy, and anything that needs to sound genuinely human and intelligent.

I've tried them all — GPT-4, Gemini, Llama. For long-form writing that actually sounds like a real person with opinions, Claude wins consistently.

What it replaced: My content writer ($1,200/month). I now produce more content, faster, and it's better.

My workflow: I give Claude a topic, my key points, my tone guidelines, and three examples of my best writing. It produces a first draft in 90 seconds that needs maybe 20% editing.

3. Descript — Replaced My Video Editor

I record a raw video. Descript transcribes it, lets me edit the video by editing the text (delete a word, the video cut happens automatically), removes filler words, and adds captions.

What used to take 3 hours of editing now takes 25 minutes.

What it replaced: My video editor ($600/month for 4 videos).

4. Make (formerly Integromat) — Replaced My Admin VA

Make is the automation platform that connects all my tools. When someone buys a product, they get added to my CRM, tagged correctly, sent a welcome email, and logged in a Notion database — automatically, without me touching anything.

What it replaced: Most of my VA's admin work ($400/month).

5. Midjourney — Replaced My Graphic Designer

Product mockups, social media graphics, blog post headers, ad creatives. Midjourney produces professional-quality images in 60 seconds from a text prompt.

What it replaced: My graphic designer ($500/month for ad-hoc work).

6. ElevenLabs — Replaced My Voiceover Artist

I create audio versions of my blog posts and training materials using my own cloned voice. Record 30 minutes of yourself talking, clone your voice, and ElevenLabs will read any text in your voice.

What it replaced: Voiceover costs for my course content ($300/month).

7. Perplexity — Replaced My Research VA

Deep research on any topic in minutes. Perplexity searches the live web, synthesises information, and cites its sources. I use it for competitor research, market analysis, and staying current on AI developments.

What it replaced: Hours of my own research time and my research VA ($400/month).

The Honest Truth

This isn't about cutting corners. The output quality is higher than what I was getting from my team — because AI doesn't have bad days, doesn't miss deadlines, and doesn't need managing.

The one thing AI can't replace: genuine human relationships. My VA handles community management, personal replies to important emails, and anything that requires real emotional intelligence.

Everything else? AI handles it better, faster, and cheaper.
